This Privacy Policy explains how Monty Ventures Limited (“we”, “us”, “our”) collects, uses, shares, and protects personal data when you use Fox, our WhatsApp-based showings assistant for real estate agents (the “Service”). Fox is a brand of Monty Ventures Limited.

2. Information we collect

We collect the following categories of personal data:

• Account data. Name, email address, phone number, organisation name, and authentication identifiers when you sign up for and use Fox.
• Listing and property data. Information you provide or forward to Fox — listing URLs, documents, images, addresses, availability, and pricing — so Fox can coordinate viewings.
• Counterparty and lead data. Contact details (name, phone number) of owners, tenants, and prospective buyers or renters that you ask Fox to coordinate with on your behalf.
• Messages. The content of WhatsApp and other messages exchanged through the Service, including inbound and outbound coordination on your behalf.
• Calendar data. If you connect Google or Microsoft calendars, free/busy information and the events Fox creates or reads to schedule viewings.
• Billing data. Subscription status and payment metadata. Card details are processed directly by our payment provider; we do not store full card numbers.
• Usage and technical data. Log data, device and browser information, IP address, and product analytics used to operate, secure, and improve the Service.

3. How we use information

We use personal data to:

• provide, operate, and maintain the Service;
• coordinate viewings — reading listings, contacting parties, proposing and confirming times, sending reminders, and flagging no-show risk;
• process payments and manage subscriptions;
• communicate with you about your account, security, and changes to the Service;
• monitor, secure, debug, and improve the Service, including training and evaluating our own automated coordination logic; and
• comply with legal obligations and enforce our terms.

4. Legal bases and data handling

Where UK GDPR applies, we rely on the following legal bases: performance of a contract (to provide the Service you sign up for); legitimate interests (to secure, operate, and improve the Service); consent (where required, for example certain messaging); and compliance with legal obligations.

Messaging consent. When you ask Fox to contact an owner, tenant, or lead, you confirm that you have a lawful basis to share their contact details and to message them about the relevant viewing. You are responsible for honouring opt-out requests and for complying with WhatsApp and Meta business messaging policies and applicable local law (including UK GDPR, EU GDPR, and LGPD).

5. Sharing and sub-processors

We do not sell personal data. We share data with service providers who process it on our behalf under appropriate contractual safeguards, including:

• authentication and identity management;
• cloud database, storage, and hosting;
• WhatsApp and SMS message delivery;
• AI model providers used to read listings and draft coordination;
• payment processing;
• calendar providers you choose to connect; and
• email delivery, rate limiting, and listing data retrieval.

We may also disclose data where required by law, to protect our rights, or in connection with a corporate transaction such as a merger or acquisition.

6. International transfers

Some of our providers process data outside the United Kingdom and European Economic Area. Where we transfer personal data internationally, we rely on appropriate safeguards such as adequacy decisions or standard contractual clauses.

7. Data retention

We retain personal data for as long as your account is active and as needed to provide the Service, then for a reasonable period to meet legal, accounting, security, and dispute-resolution requirements. You can ask us to delete your data, subject to those obligations.

8. Security

We use technical and organisational measures to protect personal data, including encryption of sensitive credentials, access controls, and tenant isolation so that one organisation cannot access another’s data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Subject to applicable law, you have the right to access, correct, delete, restrict, or object to the processing of your personal data, to data portability, and to withdraw consent. 10. Cookies

Our website and dashboard use cookies and similar technologies that are necessary for the Service to function (for example, to keep you signed in) and, where applicable, to understand usage. You can control cookies through your browser settings.

11. Children

The Service is intended for business use by real estate professionals and is not directed to children. We do not knowingly collect personal data from children.

12. Changes to this policy

We may update this Privacy Policy from time to time. We will update the “Last updated” date above and, where appropriate, notify you. Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
